Terms and Cancellations

Please read these terms before booking. When you make a booking, you will be asked to confirm that you have read and agree to them.


1. About these terms


These terms apply when you book an appointment with ABC Psychology, whether through our website, through Halaxy, by phone, or by email. They set out how bookings, fees, payments, cancellations and appointments work.


These terms are separate from the consent to treatment you will complete before your first session. That intake process covers how your care is provided, how your information is handled, and the limits of confidentiality in more detail.


2. Booking an appointment


When you book, you agree to provide accurate and complete information, including your contact details and, where relevant, referral or funding information. You are responsible for keeping this information up to date.


Making a booking reserves a session time for you with one of our psychologists. We accept bookings on the understanding that our service is the right fit for your needs, and we reserve the right to decline or cancel an appointment where we feel another service would support you better. If this applies, we will contact you to talk it through before your appointment and, where we can, help you find an appropriate alternative.


3. Fees and payment


Our standard session fee is $230. Fees for assessments, reports and other services are advised before that work begins.


To confirm a booking, your card details are stored securely on file through Halaxy, our practice management platform. The session fee is processed automatically 48 hours before your appointment. Halaxy stores your payment details in line with Australian security standards. ABC Psychology does not store your full card details directly.


If you have a Mental Health Treatment Plan from your GP, you may be eligible for a Medicare rebate for a set number of sessions. Rebates depend on your individual circumstances and eligibility. Reports requested for legal, employment, education or other non-clinical purposes are not covered by Medicare and may attract an additional fee, advised in advance.


4. Cancellations and rescheduling


We understand that things come up. We ask for at least 48 hours notice if you need to cancel or reschedule.


  • Private appointments: cancellations or reschedules with less than 48 hours notice, or non-attendance, are charged 50% of the session fee.
  • Third-party funded appointments (for example NDIS or EAP): cancellations or reschedules with less than 48 hours notice, or non-attendance, are charged 100% of the session fee, in line with the relevant funding rules.


Medicare rebates do not apply to missed appointments or late cancellations.


Fee reductions, waivers or refunds may be available at the treating psychologist's discretion where there is genuine hardship or exceptional circumstances.


5. Appointment reminders and communication


We send appointment reminders by email and SMS through Halaxy. By booking, you consent to receiving these reminders and other appointment-related messages. You can discuss your communication preferences with us at any time.


6. Telehealth and in-person appointments


Sessions are provided by telehealth, using secure video or telephone, across Australia. In-person appointments at our Birtinya rooms on the Sunshine Coast are available from September 2026.


If you book a telehealth appointment:


  • You are responsible for having a suitable device, a private space, and a reliable internet or phone connection.
  • At the start of each session, you will be asked to confirm your current location and whether anyone else is present.
  • We use a secure platform that meets Australian privacy and security standards.
  • Occasionally, technical issues such as an unstable connection may disrupt a session. If this happens, your psychologist will work with you to continue or reschedule.


Telehealth is not suitable for every situation. If your psychologist feels a different arrangement would serve you better, they will discuss this with you.


7. Emergencies and crisis support


ABC Psychology is not an emergency or crisis service. We do not provide urgent or after-hours support, and appointments may not be available at short notice.


If you or someone else is in immediate danger, or you are concerned about your safety, please contact emergency services on 000.

8. Your privacy


We take your privacy seriously. Information you provide when booking is collected and handled in line with the Privacy Act 1988 and our Privacy Policy, which explains what we collect, how we use and store it, and your rights. Client records are kept for the legally required period: seven years from your last appointment, or, for clients who were under 18, until you turn 25.


9. Clients under 18


If the client is under 18, we ask that the booking is made through our admin team rather than online, so that the appropriate parent or guardian consent can be arranged. A parent or guardian must provide consent for a client under 18. Your psychologist will also consider the young person's capacity to consent to their own care as part of the intake process.


10. Your responsibilities


To help us provide safe and effective care, we ask that you:


  • Provide accurate and complete information about your needs and contact details.
  • Give as much notice as possible if you need to cancel or reschedule.
  • Treat our psychologists and staff with respect.
  • Contact emergency services on 000 in any urgent or life-threatening situation.


11. Changes to these terms


We may update these terms from time to time. The version published on our website at the time of your booking is the version that applies.
